Read on for some general info about serving at newday ...

newday takes place at the Norfolk Showground, near Norwich.

The route will be well signposted from all major roads in the area: look for the giant blue big top tent as you head for the A47 Norwich Southern Bypass (at the A1074 junction Longwater Interchange). It's signposted from all major routes.

Prices will be announced in January 2016.

If you’re from a church that hasn’t been to newday before, we have great introductory offer prices for you.

There's plenty to do at newday outside of the meetings and seminars. As well as our full cafe programme and busy concourse area, our sports teams have put together a frenetic timetable to ensure your every whim is catered for. From air hockey to Zourkhaneh (ok, we don't actually have Zourkhaneh on offer but the list of sports beginning with 'z' is pretty limited) and the alphabet in between, you're bound to find something you enjoy.

We've put all the information you might need into a pdf for you to print and peruse at leisure, but for now, here are the essentials.

During the event week don't forget to check our blog pages for our daily diary.

So you've booked your place online – what happens between now and newday?

Here are some of the important details about booking into newday that you should be aware of.

newday is a six day event, and we encourage you to come for the whole thing, to get the most out of it.However, if you just can't make it to newday for the whole week, you can come for the day – or for a couple of days – if you wish.

There's a real buzz about the site during Setup. It's hard work, but great fun to see the Showground take shape. Why not choose from the options below and join us?

Whatever you enjoy, there's a role at newday for you - if you're aged 18 or over by 1 August, why not join our small army of servers? Choose a team from the blurb below and book online ...

Please note that all main event servers need to provide evidence of a satisfactory DBS check (formerly CRB Disclosure) dated on or after 1 August 2013 to serve at the event.

If you can stay on site at the end of newday, even just for half a day, then we could really use your help. There's masses to do during Take Down, but it's a real opportunity to honour our hosts at the Showground and witness to those living nearby, as we demonstrate with practical action what God's done in us during the week.

Perhaps those you're travelling with could delay the journey for just a few hours to stay and help? Last year's bbq for Take Down servers was immense ...

If you have particular skills – perhaps you’re a plumber, carpenter, qualified electrician, telecommunications engineer, IT specialist, world-class ballroom dancer, experienced lion-tamer (well, perhaps not...), we’d like to hear from you. If we can use your particular skills, we will.

Read on for some specialised roles we'd like to fill ...

Young people come to newday in church groups and we ask each church to nominate a Group Coordinator - a responsible adult who'll act as our point of contact before and during the event and who'll take overall responsibility for the young people in their group at newday.

Read on for details of the role ...

With our system handling thousands of bookings, there's bound to be the odd problem that crops up. We're sorry if you happen to encounter one. We realise how frustrating it can be and we'll do our very best to help.

Your first job ...
We appreciate the work our Group Coordinators put in, and so we offer in return a discounted place at newday. The first thing on your 'To Do' list should be to register your details as Group Coordinator and book your own place to claim your discount. The earlier you book, the greater the discount available.

Read on for more information ...

We changed the way we facilitated praying for young people at newday a few years ago, to make things a bit more straightforward for those who wanted to pray for the young people from their own church.

The Ministry Team (red caps) is now a full-time serving team - you'll find details in the Main Event section of this website.

Need to get in touch? Find our contact details below ...

No matter which team you're joining, all Main Event servers must return their server paperwork. It's not as scary as it sounds - but take care of it nice and early to save yourself time when you arrive at newday.

Shortly before the event you'll find details of the camping site we've given your church group via the Coordinators' Office. We'll also include information about how to lay out your tents, caravans and marquees, and our .(JavaScript must be enabled to view this email address) is always happy to help when needed.

Read on for more info ...

We want to make sure everyone who comes to newday gets as much out of the event as possible.

If you have specific requirements which mean you may need some extra help – for example, you may need BSL interpretation of meetings, Braille translation of our handbook or accessible showers and loos – please let us know by checking the accessibility box on your online booking form. Our Accessibility Coordinator will get in touch soon after you book to see if there’s anything we can reasonably do to help.

If you are a Blue Badge holder and will need to use your car once on site, please also ensure you tick the accessibility box when booking, as you'll need to obtain a car pass from us.

Where a young person requires a full-time carer with them on site, we'll be pleased to book the carer into the event at a flat rate of £35. Please get in touch via .(JavaScript must be enabled to view this email address) to take advantage of this.

Serving at newday

There are loads of different ways you can help out. Take a look at the different serving options available, then book online and let us know in which area you’d prefer to serve. We’ll do our best to fit you into an appropriate team. Shortly before the event we’ll be in contact with details of which team we would like you to join, who’ll be leading your team and when you will need to arrive at newday for your initial team meeting.

When you can serve

You can serve at newday for any combination of the following periods:

Setup: from Thursday 30 July
Main Event: from Monday 3 to Saturday 8 August
Take Down: from Sunday 9 to Monday 10 August

Please note that if you want to serve during Setup you’ll need to book by midnight on Sunday 26 July. Although you’re welcome to serve, we’ll be unable to feed you during Setup if you book after this deadline.

Benefits of serving at newday

Being part of a newday team can be hard work… but is great fun! You can choose to work either full- or part-time, depending on when you’re available and which team you choose.

In return for being available for around seven hours a day we’ll give you a free place at newday and, for the amazing price of £20 we’ll feed you twice a day (lunch & dinner) in our celebrated restaurant: a cooked lunch and our chef’s abundant packed tea. (Of course, if you’d prefer to sort your own catering or eat with your church, that’s fine.)

Work around four hours a day and we’ll give you a 50% discount on your booking fees. You’ll need to make your own arrangements for food.

Please note that there’s no fee reduction if you just serve during Setup and/or Take Down but not during the Main Event week. However we will give you three meals a day for free during Setup and Take Down, and the food is just as good!

The first meeting is in the evening on Monday 1 August and the last in the evening on Saturday 6 August. You have to leave the site by midday on Sunday 7 August, so there’s plenty of time to pack up your tent.

If you’re considering bringing your young people by train, take a look at Traveline East Anglia’s journey planner for more details.

The Rhythm Factory
Global Cafe
Pink Bar
The Gents
The LimeLounge
Cafe Froth

Creative Arts

There’s an exciting programme of dance, drama, art and crafts and songwriting at newday this year. Find the details here.

Activities on site

You’ll find a regularly updated list of the various activities on offer at newday - click here to see what sort of things your children may be getting up to. You know your children and their abilities and limitations best, so if you’ve any concerns about them participating fully in any of the activities, please talk to the youth worker accompanying them to the event. Of course we carry out full risk assesments ourselves on all activities at newday, ensure suitable supervision for each and have a professionally qualified medical team on site available around the clock.

Safety on site

Your child’s safety is our priority: with more than 5000 young people on site, we take their safety very seriously. We ask church groups to ensure that they bring one responsible adult for every six young people under 18 that they bring to newday, to make sure everyone is properly looked after. The Group Coordinator is the person with overall responsibility for your child’s church group.

Here are some of the other ways we ensure your child’s safety on site…

Zone Hosts
On site, the church groups camping on the same zone will be looked after by its Zone Host and team – they’ll act as a point of contact for any issues that arise, and liaise closely with all the other teams at newday to ensure the delegates’ safety, 24 hours a day. They’ll make contact with Group Coordinators on arrivals day, so they’ll be a friendly face in case of need.
At the gate
We’re concerned for young people’s safety both on and off site, so the Gate Team will not only be checking that those accessing the site during the week have legitimate reason to do so, but also checking that any young people attempting to leave site do so safely. Due to the lack of safe pedestrian access off site, delegates under 18 will be strongly discouraged from leaving the site during the event week and will be instructed to bring their Group Coordinator to the main gate if wishing to do so. We hope that all responsible adults will dissuade their young people from leaving the site in the light of the fast-moving traffic on the surrounding ‘A’ roads.
In emergency
A professional team provides medical cover on site and we have a Fire Officer in attendance throughout the event, with appropriate arrangements made with the emergency services, should an accident occur. And, of course, we make sure all sporting activities are carefully supervised with appropriate safety equipment.
We ask everyone booked into newday to wear a numbered wristband during the event. This ensures we can identify easily anyone not booked in, as well as all those who are – important in case of injury or accident. Those visiting for the day are also given wristbands to wear. In addition, all newday servers and contractors are given identity badges to wear on site.
Child protection
We have a Safeguarding Coordinator on site, whose role is to be available for advice and training, both for young people, their supervising adults and event servers. All our servers are asked to adhere to the newday Child Protection Policy and must have undergone a Disclosure & Barring Service (DBS) check. Of course, this also applies to everyone joining the Ministry Team, who pray for young people when requested. All servers wear appropriate identification.

All this and more is available in a pdf for you to print and keep - download it here.

Your church group

Because delegates come to newday as part of a church group, the first thing we ask when you book is to select your church from a dropdown list. This ensures we give you camping space with the right church group. If you’re coming from a church outside the UK, please make sure you book with the church with whom you’ll be camping, if that’s different from your own. Our database includes all Newfrontiers churches, plus lots of other churches who have been to newday before. If you can’t find yours in the list, this isn’t a problem – you’ll be asked to give us a few details so we can add your church to our database. This should only take a few moments, and you’ll still be able to continue your booking. However, if your church hasn’t been to newday before, wouldn’t you like our specially reduced rates? .(JavaScript must be enabled to view this email address) for a discount code with details of your church and we’ll add your church to the database when sending the code.

Booking as a Group Coordinator?

Group Coordinators need to both register as such and book their own place via the Coordinators’ Office to claim their discount. We’ve emailed last year’s Coordinators with login details; .(JavaScript must be enabled to view this email address) if you need us to send these to you.

You’ll be able to make a block booking (book and pay for a number of tickets at the lowest prices and fill in the details later) and pay by bank transfer via the Coordinators’ Office.

Recruited to serve?

If you’ve been asked to serve with a particular team at newday your team leader will have given you a recruitment code. Quote this when prompted to make sure we allocate you to the right team!

Supporting your church group?

There are hundreds of adults who come to newday to support their church group, whether by catering for the masses or simply acting as a responsible adult. No matter in what capacity you’re coming to the event, you must book in via our online booking system, and include all those you’ll be bringing (babies and young children included).

Payment deadlines

Payment for all bookings needs to be made at the time of booking (or within 7 working days when paying by cheque via the Coordinators’ Office). Please make sure you pay promptly. Money is tight for all of us at the moment and we will unfortunately have to cancel your booking if you don’t pay in time. We’re sorry, but we’re not able to offer a deposit or staggered payment scheme.

Here’s what you can expect from the time you book until you arrive in the car park at the Norfolk Showground in July:

1. Booking confirmation

You’ve booked your place online – you might have done this yourself, or your Group Coordinator, youth leader, mum or dad might have done this for you. Whoever gave their details as the Booking Contact when the booking was made will receive an email, confirming the booking and giving a booking reference and password, to enable them to log back into the booking. Keep this email – you’ll probably need it!

If you’re a Group Coordinator and you’ve reserved places in the Coordinators’ Office which you will pay for by cheque, you’ll receive a provisional confirmation of your booking by email. This will include details of where to send your cheque. Group Coordinators should log in to the Coordinators’ Office to make any amendments to bookings made there.

2. Confirmation of payment

If you’ve paid by credit or debit card, you’ll receive an email from WorldPay, confirming the transaction and giving a transaction ID.  Please hold on to this email too – if you have any query over your payment or about a refund you may need this information.

If you’re a Group Coordinator and have sent a cheque in payment of a large booking made in the Coordinators’ Office keep checking back to make sure we’ve applied the payment to your booking – it can take us a week or so.

3. Amending your booking

You may wish to amend your booking – perhaps you want to amend your personal details, volunteer to serve at newday, or add other delegates to your booking? You can do this quickly and easily by logging in to your booking, using the information in your original booking confirmation email. If you need any of your payment refunding, you’ll be able to request this online.

Our Bookings Team can send you another copy of your booking confirmation email, if you can’t find your original copy with its login details. Just .(JavaScript must be enabled to view this email address).

4. If you’re serving at newday

All those who’ve booked to serve at newday will receive their server paperwork email which is automatically generated and should arrive shortly after booking. This important email confirms your serving choices and is the document you’ll need to print, complete and return to us to enable you to serve, so please give it your undivided attention.

You’ll see it has a link to download and read our Child Protection Policy, as well as sections for you to complete. Please print a copy of the email and ask an elder/senior leader from your church to endorse your application where shown, confirming he’s seen details of your DBS check. You will need to sign the Safeguarding Declaration on the email. Once all this is done you’ll need to send the completed document to our Serving Admin Team at the address shown on your email.

It’s important to return this paperwork to us in good time before the event, so we can get your server identity badge ready for you. This will save you oodles of time queueing when you arrive at newday, so is well worth it.

A couple of weeks before the event, we’ll email you again with details of the serving team to which you’ve been allocated, including your team leader’s contact details, when to arrive at the event and when and where to go to meet the rest of your team and collect your server identity badge at its initial team briefing.

5. Your delegate letter

In July we’ll send an email to every Booking Contact with our delegate letter attached. This letter contains all sorts of useful information you’ll need to know about newday. Please distribute a copy of this letter to each delegate on your booking (or ask your Booking Contact to forward one to you).

6. Group Coordinators

We keep in regular touch with our Group Coordinators from the time our booking system goes live to during the event itself. As well as notices in the Coordinators’ Office, we’ll email every month or so with news and important information about bringing your group to newday – and more often in the final weeks before the event. Then we’ll keep in touch on site at the Norfolk Showground with our initial Group Coordinators’ meeting, and by SMS after that.

And that’s it ... time to pack your bags and head off to Norwich!

Delegate fees

Prices are available to 2359 GMT on the date shown.

Refunds and Cancellations

We hope you won’t want to cancel your booking. However, in the unfortunate event that you need to do so, we will refund your booking fee on request, less a £15 administration charge, as long as you .(JavaScript must be enabled to view this email address) by 1 June. There are no refunds for bookings cancelled after 1 June. Alternatively you are welcome to let someone else take your booking if you wish: simply amend the booking by logging in using the link and password in your booking confirmation email and editing the delegate’s details.

If you amend your booking from, say, a delegate to a server, we will refund the excess booking fees without penalty, right up to the event. All other refunds will incur a £15 administration charge. Refunds are made to the original payment card via WorldPay.

Bookings made via the Coordinators’ Office using our block booking facility are sold on the same basis as all other bookings, ie full payment at time of booking, and are only refunded on the same basis as other cancelled bookings, ie £15 cancellation admin fee (per delegate place cancelled), no refunds after 1 June.

All ages referred to are taken as at 31 August 2014, ie based on the school year.
The exception to this is for main event servers, who must be aged 18 or over by the time the event starts, ie 28 July 2014.

Day visitor tickets

You’ll need to purchase a day visitor ticket for each day (or part of a day) that you’ll be on site. These can only be purchased at the event; they’re not available in advance. Day visitor tickets are priced in order to encourage booking for the whole week, which gives best value for money.

Our daily prices are:

Full day: £25
Half day: £15

We have a special rate for visitors to newday on Saturdays. You’ll find a full breakdown of prices here.

Things to note

::  There’s plenty of free car parking available.
::  To ensure adequate supervision there must be one adult accompanying every six under 18s.
::  Under 18s visiting for the day without an accompanying adult must be met by a responsible adult at the gate.
::  Your contact details will be requested on admission.
::  We’re sorry, but day visitors’ children under 12 are not able to join our Kids’ Work.

Camping overnight

If you wish to stay over you can purchase an overnight camping ticket in addition to your day visitor tickets. However, please be aware that you’ll need to make sure you can find somewhere to sleep on your church site, as we’re not usually able to allocate any new camping space to day visitors. The cost of the overnight camping ticket is in consideration of your use of the site infrastructure (showers, loos, water etc).

(full or part-time)
We need both guys and girls to join this team which takes on the essential task of keeping our amenity blocks sparkling and well-stocked, plus some litter picking. Join this cosy team that keep the concourse area clean, tidy, safe and fun. A bit of litter picking, a lot of being sociable with delegates, servers and vendors.

Kids’ Work

(part-time, 50% discount)
These vibrant teams take care of and teach the younger children who come to newday. There’s a special programme for those aged 3-11 years every morning, split into three age groups (3-4s, 5-7s and 8-11s), primarily to release parents to serve in other areas of newday or to be on site for delegates from their church group. If you enjoy working with children, these teams can use your help.

Ministry Team (red caps)

This is an amazing way to help young people at newday meet with God and see their lives changed. Join the famous red caps and pray for young people during and after the main meetings and seminars. Like all our serving teams, you’ll be asked to attend a team briefing on arrival day, and this team meets to pray for half an hour before the evening meetings, when you’ll also be briefed on what’s planned for that meeting. Quote recruitment code ministry when you book online.

newdayAssist - Day, Night and Gate Teams

The newdayAssist teams are here to keep everyone on site safe and sound, whatever the hour. Whether it’s keeping a watchful eye on the concourse area during the day, patrolling the site at night or welcoming day visitors at the gate, there’s plenty to do. If you can handle a degree of responsibility, enjoy teamwork, have a sense of humour – and perhaps like staying up really, really late - the newdayAssist teams need you.

newdayAssist – Stewarding

(full- or part-time)
Play a vital role in the smooth running of the meetings at newday! This responsible role involves ensuring everyone on site is able to participate in all areas of the event without disturbing others and whilst maintaining delegate safety and compliance with site rules. You might find yourself welcoming delegates to the main meetings or perhaps being responsible for a seminar venue. If you like meeting people, can anticipate their needs and are good at problem-solving, you’ll love this team – and it’s a great way to work and still participate in the meetings and seminars.

Site Facilities & Maintenance

If you like variety, hard work and lots of laughs then this is the team for you! There’s a whole heap of things that need loading, recording, mending, sticking, taping, checking, unblocking, fencing and unloading. If you are practical, or able to use your initiative and improvise, then this team has your name on it. We need both ladies and gents for loads of different jobs, especially those who would like to use their DIY experience, and we’re always on the lookout for skilled plumbers and carpenters that can help us too. You’ll work in small teams in shifts, so there is bound to be a time that will suit you. (Steel toe-capped shoes would be a definite advantage but all other personal protective equipment will be provided.)

Sports Teams

(full or part-time)
newday delegates work hard and play hard! Join the teams which run the active programmes for the week. Get involved with supervising sports sessions (including the skate park), organising tournaments and competitions, refereeing events and making sure everyone has a fun, safe time at newday. If you choose to serve part-time we’ll give you a 50% discount on fees.

The Cow Shed

Milkshakes are a real feature of the newday experience. Here’s your chance to make them (and so be one of the most popular people on site!) by joining The Cow Shed team.

Don’t mind!

If you don’t mind where you serve – or just fancy a surprise – choose this option. We might need you to fill a team that’s low on numbers, or you could find yourself helping with something we haven’t even thought of yet.

Site Take Down

It takes from Sunday morning to Monday afternoon to dismantle the whole of newday! From taking up carpets and packing up venues to blitzing the amenity blocks and litter-picking the site, we’re proud that our Take Down teams leave the site in better shape than we found it. Everyone mucks in and there’s plenty to do – but we’ll feed you well, and you’ll be amongst friends. If you can spare an extra 8, 24 or even 36 hours after the event, please do – it’s a great opportunity to honour our hosts at the Showground.

If you might be able to help or know of someone in your church who might be able to, for even for part of the time, please .(JavaScript must be enabled to view this email address).

Our Health & Safety team includes highly experienced and qualified professionals to ensure you enjoy a safe week at newday. We’d very much like a firefighter in current service to join this team. If you fit the bill, we’d love to hear from you!

What is a Group Coordinator?

Young people come to newday in church groups. We ask each church group to nominate a Group Coordinator, who acts as our point of contact before and during the event. The Group Coordinator must be a responsible adult.

The Group Coordinator’s role

As a Group Coordinator, you’re vital to the smooth running of newday, particularly because it means the newday team can communicate directly with one person who’ll be at the event and has overall responsibility for the young people from that church group. We realise the job means some hard work, so in return we offer you a discounted place at newday (free if booked before the price break, 50% discount thereafter), so the sooner you book, the better!

Here’s a brief outline of what being a Group Coordinator involves:

Before the event

You’ll be given special access to the Coordinators’ Office, an area of our booking system which allows you to keep track of all the bookings from your church group and to make block bookings without entering individual delegate details at the time. You’ll also be responsible for:

:: checking you have enough responsible adults coming to the event to provide adequate supervision for your young people - we ask for a minimum of one adult for every six people under 18;
:: ensuring servers have returned the required paperwork; and
:: checking your camping space allocation and arranging your church site.

During the event

You’ll be our main point of contact with your church group on site. We’ll keep you informed of any important information via SMS, your Zone Host and the Group Coordinators’ briefing when you arrive. Amongst other things, your role during the event includes:

:: taking overall responsibility for your church’s delegates (including distributing wristbands and coordinating their participation in afternoon outreach projects);
:: looking after the church’s camping site (you’ll be able to arrive on site earlier than other delegates to give you a chance to get organised); and
:: dealing with Health & Safety issues.

We’ll give you plenty of help and will always be happy to offer our support, both before and during newday. Your first task is to register your details – and book your place via the Coordinators’ Office. Check out the other pages in this section for details, using the links at the top of this page.

Been to newday before?

If you’re from a Newfrontiers church, or your church has been to newday before, you’ll have an entry on our event database. Around the time the newday booking system goes live, we send last year’s Group Coordinator an email which contains a link to our booking system where we’ll ask for contact details of the nominated Group Coordinator, as well as the Lead Youth Worker, if different. If you didn’t come to newday last year, or you need another copy of the email, please .(JavaScript must be enabled to view this email address).

We’ll then send you an email containing login details to the Coordinators’ Office. Once logged in, you need to register your own details and claim your discounted place in the Profile section before going on to make any other bookings. You can only register/book your place via the Coordinators’ Office.

As we use email (pre-event) and SMS (during the event) to contact you, please make sure we have these details and that you keep them up-to-date.

Group Coordinators qualify for a free place until the price break, and a 50% discount thereafter. Book now!

New to newday?

If your church has never been to newday before, we’d love to see you! We have a fantastic introductory offer that you can read about here. We’ll need a few details from you so we can register and book your Coordinator’s place for you - please .(JavaScript must be enabled to view this email address).

From outside the UK?

We appreciate the additional costs involved in bringing a group to newday from countries outside the UK and so are pleased to offer a special price for those wishing to come to the event from outside the UK. You’ll also need to register and book a Group Coordinator - we’ll do this for you when you .(JavaScript must be enabled to view this email address) the details. Individuals coming from outside the UK but joining another church group on site still benefit from the special prices but can come under the care of their host church’s Group Coordinator.

The Coordinators’ Office?

The Coordinators’ Office is an area of the newday booking system designed to make your life as a Group Coordinator easier. As well as keeping tabs on your church group’s bookings, you’ll be able to:

:: Update your details as Group Coordinator, so we can keep in touch
:: Book your discounted place
:: Block book and pay for places without initially entering individual delegates’ details
:: Purchase tickets for marquee lighting/power for refrigeration appliances/power for phone charging
:: Choose to pay for your bookings by bank transfer (instead of debit/credit card)

:: View and download details of those booked with your church
:: Keep tabs on whether servers from your church have returned their paperwork
:: Download your group’s camping site information (in July)
:: Contact us with any questions

Keeping in touch

We’ll keep in regular contact with you right up to the event. Every month or so we email our Group Coordinators with the latest news and helpful information and you can find past copies of all emails to Coordinators in the Coordinators’ Office.

Email via the Coordinators’ Office

If we need to get in touch with you about something specific to your church group, we’ll send you a message via the Coordinators’ Office, so keep an eye on your inbox. And you can send us messages there too - we’ll do our best to help.

Text messages

We keep in touch at newday via SMS, so make sure we have your up-to-date mobile number. Group Coordinators can charge their mobile phones on site for free via their Zone Host.

Praying for your young people at newday

If you’re the Lead Youth Worker (you may nor may not be the Group Coordinator) for your church group, you will be able to nominate adults from your group to pray for your own young people at newday. The adults you nominate won’t need to join the Ministry Team or submit any paperwork to us (although we do, of course, recommend that any adults you nominate adhere to your church’s usual safeguarding protocols). We will simply ask you to collect prayer wristbands on the first day to distribute to those you’ve nominated. We hope this will make it simpler for you to get members of your team engaged in response times with your young people.

The Ministry Team

Of course, we still have an active Ministry Team (the red caps) to pray with young people during ministry times. Those joining the Ministry Team commit to praying for young people during both main meetings and seminars, and should book as main event servers, quoting recruitment code ministry. Like all our main event servers, they’ll need to provide their elder’s recommendation and evidence of a DBS check. As full-time servers, Ministry Team members come to newday for free.

Group Coordinators wishing to join the Ministry Team (red caps) should .(JavaScript must be enabled to view this email address) so we can send you your server paperwork email.

More detail ...

To safeguard young people and vulnerable adults at newday, we ask all servers to provide us with some documentation before they join their teams at the event.

Your server paperwork

Shortly after you book as a Main Event server, we send you your server paperwork email. Before you arrive at newday you must print the email, then complete and return it to the address given on it. If you don’t receive this email shortly after booking, please .(JavaScript must be enabled to view this email address) and we’ll send you another copy.

Elder or senior church leader’s recommendation

We need each server to obtain the recommendation and signature of one of their church elders/senior leaders to confirm their suitability to serve in the areas they’ve indicated. There’s a special section for this purpose on the email.

DBS Disclosure

You’ll also need to have a DBS Disclosure, and there’s a section on the email for your elder to complete to confirm he’s seen evidence of this. We are happy to accept a DBS check from any referrer (eg you may have one via work, rather than through your church) - you’ll just need to show it to your elder so he can complete the details on your printed server paperwork email.

If you don’t have a valid DBS Disclosure, you’ll need to apply for one through your church. Ask your church Safeguarding (or Child Protection) Coordinator for details, or contact your church leader or administrator if you’re unclear who this is. DBSs can take some weeks to come through so please don’t delay. If you’re unable to obtain a DBS check through your local church, newday can do this for you, for a nominal admin fee. Please .(JavaScript must be enabled to view this email address).

If you are from outside the UK and unable to apply for a DBScheck, or have any other issues regarding your Disclosure, please .(JavaScript must be enabled to view this email address) for details.

Safeguarding declaration

The email contains a link to the newday Child Protection Policy and all servers must sign a declaration to say they have read the policy and agree to keep to the guidelines it contains.

Getting set up

As newday has grown, the number of church groups bringing substantial numbers of young people and their tents, plus marquees and fully kitted-out catering tents, has grown too. We know that Group Coordinators need time to set out their sites, take delivery of marquees, equipment and hired caravans - and often to set up tents for their delegates too - before newday kicks off and the young people arrive. We’re also aware that our own Setup teams work right up to the last minute to prepare the site in time for our delegates’ arrival. We’ve therefore put the following arrangements in place to try to allow you to get your site set up as easily as possible while we finish off getting the site amenities in place and the camping areas up and running.

When can I arrive?

All delegates may arrive from 10am on the first day of the event.

Group Coordinators may arrive from midday on the previous day. They’ll be able to bring with them up to 10% of the total number of delegates booked with their group (rounded up to the nearest whole number - it’s always hard to find that half-person when you need one…) and groups of 20 or fewer can bring three people, as we appreciate it can be a battle to get a decent-sized cooking tent up with only two pairs of hands.

If you need to bring your children with you, we won’t count your under-12s as part of your setting up team, but please be aware that the site won’t be safe for children until gates open for delegates at 10am on the first day of newday, so please supervise them carefully.

Group Coordinators’ briefing

There’ll be a briefing meeting for all Group Coordinators during the evening of the day before newday kicks off - we’ll email you with details before the event.

Marquees and other deliveries

If you’re arranging to have a marquee, catering equipment or anything else delivered to the site, please arrange delivery times so you’ll be on site to receive the items.

Smoking is not permitted at anytime inside buildings, marquees, individual tents and along the concourse.
