Newday 2020 Festival | Coronavirus Update

Blog

6 minute read

We are working hard towards Newday 2020 in the expectation that it will go ahead this summer.

The safety of everyone who will attend the festival is of paramount importance to us.

We are monitoring closely the developments relating to the spread of Coronavirus, COVID-19 and noting the updates and advice given by the UK Government, the World Health Organisation and other public bodies.

We will follow the best available advice from the chief medical officer and will inform you immediately of any significant changes to our 2020 plans.

We understand that the natural response could be to wait for a clearer picture concerning the virus, however, we are encouraging you to book into the festival as normal, ideally before the Earlybird price break (midnight, Thu 26th March).

In order for the Newday festival to be able to run each year, we must take most of our bookings before the Earlybird price break; not only does this provide the essential cash-flow to be able to put on the event, but it also off-sets the significant risk of not knowing what the event numbers are likely to be. If booking numbers are lower than expected at the Earlybird price break then we start planning for a much smaller festival and begin putting contingency measures in place.

If the festival is cancelled for any reason, you will receive a full refund on your ticket. This is both covered within our own booking terms and conditions, as well as within the Consumer Rights Act 2015.

We thoroughly plan each year’s festival and put in place all necessary measures to protect those attending the event and maximise safety and always review our plans as any circumstances change. With this in mind and with our 2020 Festival still, 20 weeks away, we continue to plan and prepare for the event, whilst at the same time closely monitoring developments with the Coronavirus situation.

Something we can all do today is to pray. We pray for the nations that have been most badly hit by the virus and ask God that He would bring healing to them. We pray that God would protect those who are most vulnerable, and we ask God to stretch out His healing hand, to bring this outbreak to an end.

We do advise you to keep in touch with the latest government advice by looking at the guidelines given by the NHS and Public Health England websites.

We are aware that there will be further questions around the detail of how we are preparing in light of the increased spread of Coronavirus within the UK. In the following FAQs we have tried to address some of these questions and we will continue to communicate additional detail as the situation becomes more clear.

FAQs Section

Will the Newday festival go ahead as planned?

We are continuing to prepare for the Newday festival to go ahead as planned this Summer. It's impossible to predict how the official advice concerning larger events might change over the coming months. We will, therefore, inform you immediately of any significant impact to our 2020 plans.

If the festival is cancelled, will tickets be refunded?

Yes. If the festival is cancelled for any reason, you will receive a full refund on your ticket. This is both covered within our own booking terms and conditions, as well as within The Consumer Rights Act 2015.

Will there still be an administration charge for the refund of tickets if the festival goes ahead but someone is still unhappy with the risk?

We will waive the administration charge for any refunds that are related to Coronavirus, including the situation where the festival is still to take place but someone who has purchased a ticket is unhappy with the risk.

Will the Earlybird price break be extended?

We will not be extending the Earlybird price break which is at midnight on Thu 26th March. In order for the Newday festival to be able to run each year, we must take most of our bookings before the end of March. This provides the essential cash-flow to be able to put on the event. It also allows us to get an idea of the likely event numbers. If booking numbers are lower than expected at the Earlybird price break then we start planning for a much smaller festival and begin putting contingency measures in place. If we were to move the Earlybird price break later it significantly increases the financial risk to the festival. If the festival is cancelled for any reason, you will receive a full refund on your ticket, so you can go ahead and book Earlybird tickets risk-free.

When will the final decision be made on whether the Newday festival is 100% definitely taking place?

We will inform you immediately of any significant changes to our 2020 plans. We continue to plan and prepare for the event, whilst at the same time closely monitoring developments with the Coronavirus situation.

Advice for handling risk in terms of costs for hiring coaches, equipment etc?

Check the cancellation policy of any contract that you enter into for hiring coaches, & equipment etc. Consider travel insurance policies that would cover the cost in the case of having to cancel. Ultimately you’ll have to make a choice between securing the equipment/travel far in advance, against avoiding carrying too much risk in the event of possible cancellation.

Will we be releasing a list of countries that overseas churches are travelling from to the Newday festival?

We usually only have a handful of people travelling from overseas to the Newday festival (less than 2% of delegates). We will handle these bookings on a case by case basis to ensure that all necessary precautions are taken to ensure the safety of everyone attending the festival. We currently have 10 delegates booked who are travelling from overseas, none of whom are from a high-risk area.

What about groups travelling from overseas to the Newday festival, including the complication of possible post-event quarantine?

We would work with the church impacted to ensure that their young people are cared for and supported during any possible post-event quarantine period.

What additional measures are we taking at the festival this year to protect everyone who will attend?

We are putting in place all necessary measures to protect those attending the event and maximise safety. We will regularly review our plans as any circumstances change. We are following the best available advice from the chief medical officer and we will release more information about the additional steps we have taken over the next few months.

How would we handle the situation of a case of Coronavirus at the Newday festival?

We have existing emergency policies in place that we’ve previously used when dealing with instances of diarrhoea and vomiting. These policies include quarantine procedures and liaising with local health services. We are currently reviewing these policies in light of Coronavirus, and we will put in place all the necessary additional measures.

How big is the Bigger Top and will there be an overflow venue again?

The Bigger Top can accommodate up to 9000 people. We will once again be providing an overflow venue aimed at facilitating those that require a bit more space, where the meeting will be video streamed onto a large screen.

How can we pray?

Please pray for the nations that have been most badly hit by the virus and ask God that He would bring healing to them. Pray that God would protect those who are most vulnerable, and ask God to stretch out His healing hand, to bring this outbreak to an end. Please pray for the Newday team as we navigate the many complex issues that relate to the Coronavirus situation.

I have another question – who can I contact?

The best place to ask a follow-up question is by posting on the Newday Youth Workers Facebook group so that we can answer it for everyone's benefit (rather than answering 100 individual identical questions on email!). We will be regularly monitoring and engaging in this group as the primary way of communicating with Youth Workers. Additionally, if you need to amend your booking please email us on bookings@newdaygeneration.org or use the live chat functionality on the festival booking system.
